| Can MI Management System merge data to other applications besides Microsoft Word? |
In MI Management System, data can be extracted for Mail Merge with any application that can read tab delimited text files. The data extracting is done through Reports in MI Management System. Below is an example of how to get Client Information extracted: - Click on Reports from the main screen.
- From the Reports window, click New.
- Choose Clients Info from the Table Group.
- Click OK.
- Enter a Title in Setup Title.
- Click OK.
- From the Locator, Click Open Report.
- Click Yes when prompted.
- On the top menu, click Report
- Click Title (this will put a title field in for the report)
- Hold down shift and click on all of the Report headings (e.g. FullName). The Report headings will be bold
- Once the Report headings are highlighted, left click on them and drag to the Title area (white area above Header)
- Once the fields are dragged to the Title area, click Report from the top Menu
- Click Header
- From the Report window, click File.
- Click Print to File Setup...
- In Print to File Setup, click the File button (next to File Name).
- In Save As, choose your directory and file name.
- Make sure Save as type is set to Text files.
- Click Save.
- Back at Print to File Setup, choose File Type as Tab delimited.
- Go to the field for Bands and select Title.
- Below will be Available Controls and Selected Controls, click the arrow (>) in between the fields to add the fields.
**DO NOT select ReportTitle or LocatedBy - Go back up to Bands and select Detail.
- Go back down to the arrow (>) to add the fields. **Note: The selected fields in Title must match the fields in Detail exactly. Including the order of the fields.
- Click OK.
- From the Report Window, click File.
- Click Print.
- In the Print window, put a check mark in Print to File.
- Click OK.
The exported data will now be in the text file that was saved. The data can be accessed in this file in other applications. For example the option "Get external data" in MS Excel or use Mail Merge in MS Publisher. One thing to remember is the text file is Tab Delimited. If using this for mail merge, open the text file as the "data source" to begin merging the data.
